Description
Background:
Specialist Security is a private security and risks consultancy firm that provides advice and services that enable companies, governments and international organizations to manage strategic and operational risks. Role:
Reporting to Country Manager, the Operations Manager role will provide the successful candidate with the opportunity to work in a dynamic and challenging environment and to operate at the forefront of delivering solutions to meet our daily operations and future strategic developments.
The appointee will work on a collaborative basis with the various Departments within Specialist Group.
Key responsibilities and Goals
1. Operational delivery
Provide management for the operational aspects, with support provided to operations pertaining to client service delivery
Direct daily activities to ensure delivery of service through Sheriff and CPO team, both local and expat
Assist in the CP tasks and support during heavy periods
Liaise with individual clients in relation to social trips ensuring correct planning and preparation
Plan and assist in management of Special Task such as visits of Board and VIPs
Liaise with Police to ensure awareness of situation on the ground on a daily basis
Liaise with transport manager to ensure matching of resources to delivery of service
Assist in the development of the strategic plan for all operational activity
Design, implement and monitor the operational plans on a day to day basis
To carry out spot checks on staff on a 24hrs basis
2. Communication and Information
Ensure effective internal communications both within the operations team and across the organization
To liaise with sub-contractors ensuring supply of service
To report directly to Country Manager
To report to Managing Director as required
To flag all issues risks with client and Specialist Security MD via e-mail
3. Financial management
Ensure expenses are administered correctly as per Specialist Security Finance Policy
Assist Finance Dept in inspection and cross checking of invoices received
Manage Operational Petty Cash as assigned and issued by Finance Dept
4. Staff management
Create and maintain weekly rosters for the operation
Manage all staff in an efficient manner
To carry out monthly reviews of all staff within the Operations Dept
Ensure thorough tracking of service from sub-contractors
5. Organizational Effectiveness
Manage daily operations and address issues raised by clients
Ensure procedures are implemented
Increase the effectiveness and efficiency of services through improvements to the operations
Drive initiatives in the CPO Team
Develop the organisation

To identify risks to Specialist Security operation that will impact financial and or reputation
To identify and report risks to the client in a formal format particularly risk that may have a negative financial impact on their business
8. Office Management
Supervise, coach and develop work and professional development of the Sheriff
Maximize and expand upon existing office space
Ensure operational security with Specialist Security offices
Motivate the improvement of office processes
Note: Successful candidate will be reviewed annually to ensure delivery. The external Auditor will audit as per this document
Key Skills:
Minimum 2-yrs experience in a similar role.
Relevant industry certification
Operational experience
Experience of internal/external audit requirements.
Knowledge of service industry.
Candidates must also be able to demonstrate a proven capability to deliver solutions in a high-pressure environment.
Excellent communication and interpersonal skills together with strong analytical capability, problem solving and troubleshooting skills with sound judgment are essential.
